POSITION FILLED - IES Abroad Dublin - Student Affairs Coordinator

Position Title: Student Affairs Coordinator

Location: Dublin

Hours: Full-Time; with some evening and weekend work

Contract: Permanent  

Salary: €28,000-€33,000 per annum

IES Abroad is seeking a Student Affairs Coordinator (SAC) to join the IES Abroad Dublin team to support students in their wellbeing during their time abroad.

Job Overview

  • Student Welfare and Support

    • Assist students needing medical attention by referring them to local healthcare providers

    • Track students with particular health concerns, including mental health, and provide extra assistance when necessary

    • Be on-call 24/7 with the IES emergency phone on a rota basis

    • Assist students in making health insurance claims

    • Know and be able to carry out IES emergency plans and protocols

    • Coordinate emergency drills

    • Communicate with students on all health and safety matters

    • Be trained in emergency first aid

    • Participate in student affairs training and webinars led by IES Chicago

    • Serve as local Crisis Management Team liaison for the Dublin Centre

    • Deliver IES welfare-based initiatives such as diversity plans and CORE

    • Work within budgets and manage payments of SAC related expenses

    • Train and oversee temporary student support helpers

  • Trips and Events

    • Manage the planning and execution of all field trips (1-2 weekend trips per term), activities (3 events/term) and meals (farewell).

  • Prepare and coordinate all arrivals and orientations

    • Arrival schedule, welcome meals, presentations, cultural events and orientation packs, etc.

  • Housing

    • To be the primary contact for the IES Dublin student accommodation

    • Confirm housing allocations and bookings

    • Work with the Director on future student accommodation strategies

    • To manage roommate conflicts or any other issues arising from housing

  • Student enrolment data management

  • Marketing

    • Primary contributor to social media including posting updates to Facebook

    • Assist in the editing of IES marketing materials

  • General:

  • General administration (ordering supplies, answering phones, distributing post, etc)

  • Stay informed and advise students on Immigration procedures

  • Any other duties as assigned by the Centre Director

Essential Requirements

  • Minimum 2 years’ experience in a similar environment

  • Minimum of a bachelor’s degree in a relevant discipline (psychology, social sciences, education)

  • Knowledge and experience in using the Irish healthcare system

  • Exceptional organisational skills and attention to detail

  • Excellent interpersonal and communication skills, including conflict resolution skills

  • Strong leadership skills with a flexible and positive attitude towards work

  • Project prioritisation and the ability to remain calm under pressure

Required Qualifications

  • Flexible and able to multitask in fast-paced environments

Desired Experience

  • International study, intern and/or volunteer experience

  • Ability to strategize, anticipate/take initiative and problem solve

  • Good knowledge of Dublin and Ireland
